Account Optimization: Clearing Technical Debt After Go-Live

Two years after go-live, the account had accumulated unused scripts still triggering on every transaction, broken workflow references, and forty-plus roles that had never been reviewed since implementation.

The challenge

The client had been live on NetSuite for slightly over two years. In that time, the original implementation had been extended incrementally: scripts added for specific requirements, workflows modified when processes changed, roles duplicated when access requests came in without a clear place to put them. Nobody had taken stock of what the account contained since go-live.

By the time they engaged us, the account had forty-three active roles, most with names that no longer matched their function or the team members assigned to them. Eleven deployed scripts were active on transaction types they no longer needed to touch, some left over from a process that had been retired, others from an integration that had been replaced. Four workflow references pointed to fields or records that no longer existed, generating silent errors that no one had traced. The client noticed the account was slower than it should be on period-close days and suspected the customization layer was part of the cause.

What we built

We began with an audit rather than remediation. Over the first two weeks, we documented every script by type, trigger, and current status: active and in use, active but triggering on irrelevant transaction types, or effectively orphaned. We traced each workflow reference to determine whether the target field or record still existed. We reviewed every role against its current assignees and their actual function.

The remediation was sequenced by risk. Broken workflow references were corrected first because they were generating silent errors on live transactions. Scripts triggering on irrelevant transaction types were updated to narrow their triggers or deactivated if the underlying process was retired. Seven scripts were deactivated after confirming with the client that the processes they supported were no longer active. The role structure was consolidated from forty-three to twenty-two by merging roles with identical effective permissions and renaming the remainder to match current team function.

The result

The account's customization layer went from an undocumented accumulation to a known, named set of scripts, workflows, and roles with documented purpose and current status. Period-close performance improved as the scripts that had been triggering unnecessarily on high-volume transaction days were narrowed or removed. The four broken workflow references were corrected before they surfaced as visible errors.

The client moved to a monthly support retainer after the optimization completed. The documentation produced during the audit became the baseline: every subsequent change is evaluated against it and added to it, so the account does not return to the undocumented state it was in before the optimization.
