What steps in the work order lifecycle can be automated?

The work order lifecycle in NetSuite has several manual touchpoints that can be partially or fully automated with SuiteScript:

Release. Releasing a work order makes it available to the shop floor and triggers component allocation. A scheduled script can check component availability against the BOM quantities and auto-release work orders where all components are confirmed available in the correct locations, without requiring a planner to review each one.

Component issuance. When production starts, components need to be issued from inventory to WIP. A script triggered by a status change on the work order can post the component issuance transaction automatically rather than requiring a warehouse operator to enter each component pull manually.

Completion. When production is finished, the finished good quantity needs to be received into inventory and the work order closed. A script triggered by a quantity-complete field entry can post the work order completion and update inventory without a separate manual step.

Variance posting. After completion, the difference between the standard cost of the finished good and the actual costs consumed (materials at actual lot cost, labor at actual hours, overhead allocations) needs to be posted to a variance account. This calculation and journal entry can be automated on the work order completion transaction.

What causes work order variances in NetSuite?

Work order variance is the difference between what a work order was expected to cost (based on the standard cost of the finished good or the BOM component costs) and what it actually cost to complete. Three types of variance are common in manufacturing accounts:

Material variance occurs when the actual cost of components issued to a work order differs from the standard cost on the BOM. This happens when component purchase prices have changed since the last standard cost update, or when substitute components at different costs are used.

Labor variance occurs when actual labor hours recorded against the work order differ from the standard labor hours on the BOM routing. This requires that routing hours are maintained and that actual time is recorded against work orders through a time tracking entry.

Scrap variance occurs when components are consumed but the finished good quantity is lower than expected due to yield loss or defects. The component cost is fully consumed but the finished good quantity is short.

Automating variance calculation requires that the work order record has the actual costs assembled at completion time: component lot costs from the issuance transactions, actual labor from time entries linked to the work order, and the overhead allocation rate. A completion script reads these and calculates the variance amounts.

How does work order automation affect the WIP account?

The WIP (work in progress) account on the balance sheet holds the accumulated cost of unfinished production. When a work order is released and components are issued, the component cost moves from inventory to WIP. When the work order is completed, the finished good is received into inventory at standard cost and any variance is posted to variance accounts; the WIP account balance for that work order should net to zero.

Manual work order processes create WIP account balances that do not match actual shop floor status: completed work orders that have not been closed in NetSuite show as open WIP, overstating the balance. Finance teams reconciling the WIP account at period close have to identify these open orders and determine whether they represent actual in-progress production or system lag. Automation that closes work orders promptly on completion keeps the WIP account current.
