NetSuite Project Profitability for Professional Services

September 19, 2026 · 6 min read

Need project profitability reports built for your NetSuite account?

Project profitability reporting in professional services means knowing, for each active project, how much has been billed, how much it has cost to deliver (labor, expenses, subcontractors), and what the gross margin is. NetSuite has all of the underlying data: project records, time entries, expense reports, subcontractor bills, and invoices linked to projects through project tasks or the project field on transaction records. What it does not have natively is a single report that assembles this data into a project-level income statement showing revenue, cost, and margin. Finance teams at services firms on NetSuite typically produce this report by exporting multiple saved searches into a spreadsheet and combining them manually, which creates delays and inconsistencies at period close.

The absence of real-time project profitability visibility is a management problem as much as a reporting problem. A project manager who does not know the current margin on an active engagement cannot make informed decisions about staffing, scope, or billing strategy. By the time the month-end spreadsheet is assembled and shared, the project is already committed to a cost trajectory that cannot easily be changed. The goal of building project profitability reporting in NetSuite is to make the margin figure available on demand, updated as time entries are approved and expenses are posted, so project managers and principals can see the financial position of every engagement in real time.

Quick answer

NetSuite project profitability reporting is built with SuiteQL saved searches that join project records to their associated revenue transactions (invoices, revenue schedules) and cost transactions (time entries at billing rates, expense reports, vendor bills) and calculate margin by project. The SuiteQL query groups by project and computes billed revenue, unbilled work in progress, direct labor cost, direct expenses, subcontractor cost, and gross margin for each active engagement. The output is a saved search or KPI portlet that updates in real time as transactions are posted. An additional saved search shows work in progress: approved but unbilled hours at billing rate, giving project managers visibility into the revenue that has been earned but not yet invoiced. SuitePacific builds project profitability dashboards for professional services firms on NetSuite. Plans start at $799 per month on month-to-month terms.

Why doesn't NetSuite report project profitability natively?

NetSuite's project reporting focuses on task completion, resource utilization, and budget-versus-actual hours. The project record tracks planned hours, actual hours from time entries, and percent complete by task. What the project module does not natively join is the revenue side: the invoices that have been generated against the project and the recognized revenue from those invoices.

The gap exists because billing and project management are handled in separate areas of NetSuite. Time entries link to projects; invoices link to customers. The connection between a time entry and an invoice is the project task billing event, which is a standard workflow, but the resulting invoice is a customer record, not a project record. Joining revenue and cost data at the project level requires a custom query that bridges these two areas of the data model.

What does a project cost breakdown include?

A complete project cost view for a professional services firm includes several cost categories that pull from different transaction types:

Cost type NetSuite source Notes
Labor (billable) Time entry records at employee billing rate Rate may differ from payroll cost
Labor (internal cost) Time entry records at employee cost rate Requires cost rate field on employee record
Direct expenses Expense report lines with project code Reimbursable and non-reimbursable categories
Subcontractor cost Vendor bill lines with project code Third-party contractors and subconsultants
Overhead allocation Journal entries or scheduled script Applied at a rate per billable hour
Travel and logistics Expense reports filtered by category May be billed through or absorbed

The distinction between labor billing rate and labor cost rate matters for margin calculation. A consultant billing at $150 per hour with a fully loaded cost of $80 per hour contributes $70 of margin per hour. If the margin calculation uses the billing rate as both the revenue and the cost figure, it overstates profitability. Using the cost rate field on the employee record in the margin query requires that cost rates are maintained in NetSuite, which is a configuration step many accounts skip during implementation.

What is work in progress for professional services?

Work in progress (WIP) in professional services is the value of approved, deliverable time and expenses that have not yet been invoiced. Unlike manufacturing WIP, which represents physical goods in production, services WIP represents hours already worked and approved by the project manager but not yet converted to an invoice.

WIP is important for two reasons. From a revenue recognition standpoint, WIP represents revenue that may be earned but deferred; if the firm uses time-and-materials billing, the WIP converts to invoiceable revenue when the billing cycle runs. From a cash flow standpoint, WIP represents approved value sitting in the pipeline; a large WIP balance means the firm has delivered work that has not been collected on.

A WIP saved search in NetSuite shows approved time entries by project, multiplies hours by billing rate, and subtracts amounts already invoiced through billing events on those same project tasks. The result is the uninvoiced value by project, updated as time entries are approved and invoices are generated.
