What does a job cost report need to show?

A job cost report for a construction project typically needs five pieces of information for each cost code or cost category: the original budget, the revised budget after approved change orders, the committed cost (open purchase orders and subcontractor agreements), the incurred cost (vendor bills paid and expenses recorded), and the remaining budget. The combination of committed and incurred gives the projected final cost; the difference between projected final cost and the revised budget gives the projected overrun or underrun.

Standard NetSuite project reports pull from project task records and do not join purchase order commitments and vendor bill actuals in a single view. Getting all five columns in one report requires a SuiteQL query or a set of joined saved searches that pull from multiple record types and group by project and cost code. This is buildable in NetSuite but requires deliberate design rather than out-of-the-box configuration.

Why does cost code tracking matter?

Cost codes are the line items in a construction estimate: concrete, framing, MEP rough-in, roofing, finish carpentry, and so on. Cost code tracking answers the question of which trade or category is running hot and gives the project manager information early enough to adjust.

In NetSuite, cost codes can be implemented using classes, custom segments, or project task codes on purchase orders and vendor bills. Accounts that use NetSuite's project feature with task-based budgeting have a different data model than accounts that use class-based job costing without the full project module. What is committed cost tracking?

Committed costs are contractual obligations that have been made but not yet invoiced: an approved purchase order for steel delivery, a subcontractor contract for framing, a material delivery in transit. Committed cost tracking matters because a project can appear under budget on incurred costs while having fully consumed its budget in commitments that have not yet been invoiced.

In NetSuite, committed costs are captured in open purchase order lines and open subcontractor bills. A project that has incurred more costs than it has billed is an asset (costs in excess of billings); a project that has billed more than it has incurred is a liability (billings in excess of costs).
